Job Description:

This position is a Senior Executive Assistant role providing broad administrative and project support to the General Manager/VP, working closely with the Functional Management Team.

Key Responsibilities· Manage the General Managers office. Primary responsibility for managing a hectic electronic calendar, travel schedule and correspondence, requiring independent judgment in determining priorities and maintaining confidentiality of all management issues. Take ownership for performing Admin responsibilities on behalf of General Manager including forms completion, monitoring administrative processes, system updates, confirming appointments, logistics, travel schedules etc in order to facilitate the GM’s timelines and effectiveness etc.

· Coordinate all incoming and outgoing communications on behalf of GM and format should conform to high standards at all times.

· Interface with employees, customers & suppliers at all levels in HP (internally & externally) in a professional manner, assisting and seeing matters to conclusion if possible.

· Coordinate DIMO Mgmt Team Meetings and HP Ireland Site Council Meetings, continually monitoring productivity of meetings and suggesting area’s of improvement.

· Coordinates agenda/presentations for weekly Functional Mgmt Meetings, attending this meeting, taking minutes and continually monitoring productivity.

· Responsible for managing a variety of extremely complex projects in nature where a high degree of independent judgment, initiative and technical knowledge are required to resolve problems and special events on behalf of HP Ireland and the GM.

· Manage an effective Operations Department especially in the absence of the GM.

· Managing confidential management issues

· Acts as a coach to the GM in order to continusiousley improve communication, effectiveness and relationships with the rest of staff.

· Coordinate meetings internally and externally, special events, conferences, hosting visitors and all required logistics etc.

· Ownership and management of Halo Studio.

· Management of FMA meetings on an ongoing basis collecting feedback and sharing site updates from the GM’s office. Make suggestions of cost savings where appropriate at a site level.

· Maintaining excellent working relationship with catering manager and staff on site.

Minimum Requirements:

· Diploma/Certificate in Secretarial Training/Business Administration

· Min 3 years experience in a senior assistant role

· High level of competence required using Microsoft Office Suite

· Experience in web-site management

· Strong written & verbal communication skills

· Proactive and able to work independently

· Demonstrate positive attitude and team building skills

· Good Knowledge of HP philosophies, policies and initiatives

· Sharp people skills are critical for success in this position

· Possess good leadership, organisational, planning and co-ordination skills.

This is a maternity leave cover position and the Salary is negotiable.
